Stock

Your stock, entered from one photo

Take a photo of the distributor’s bill, or upload the PDF. Clyno reads each line — medicine, batch, expiry, quantity, pack notation, MRP and GST rate. Then it shows you what it read. Nothing goes into your stock until you tick it.

  • Lines it was not sure about are drawn in amber, so you check those and leave the rest. Every field is editable.
  • The pack notation does the setting up: “15X10” means 15 tablets per strip, so loose tablets sell from day one.
  • A medicine that is not in your list yet is added in the same tap. An existing one just gets the new batch.

JPG, PNG, WebP, HEIC or PDF, dot-matrix prints included. Every batch keeps its own expiry and its own printed MRP. Anything at or below the minimum you set shows as Running low, and any batch expiring in the next 90 days shows as Expiring soon. If the shelf disagrees with the screen, recount that batch — the difference is saved with a reason instead of quietly disappearing.

Prescriptions

The doctor’s prescription lands on your billing screen

Doctors using Clyno in their clinic can connect with your shop. When a connected doctor prescribes, a green tray appears above your search box with the patient’s name and how many medicines are on it. Tap Fill bill and the bill is written for you.

  • The customer’s name, their phone number and the doctor’s name fill in from the prescription.
  • Dose-form words doctors write — Tab, Syp, Inj, Cap — are skipped, so “Tab Dolo 650” finds your Dolo.
  • Anything you don’t stock is listed in amber underneath, not quietly dropped from the bill.

A doctor can send up to 40 medicines in one prescription. A doctor can also invite you with a link. It is good for 30 days. Sign up through it and your shop is connected from the first minute.

Khata

The credit book adds itself up

Bill on credit and it goes into that customer’s khata by itself — there is no second step. The top of the tab carries one number: what the whole shop is owed. Customers are listed by who owes the most.

  • Record a payment in cash or UPI. The amount comes pre-filled with the full balance, so a full settlement is one tap.
  • The ledger is one list, newest first — bills in red, payments in green, each with the date and who made the bill.
  • The WhatsApp reminder is already written, politely. It opens in WhatsApp and you tap send, one customer at a time.

A credit bill needs the customer’s name or phone number, because it has to go into somebody’s khata. The same customer is recognised across bills by phone number.

Team logins

Your counter staff stop using your login

Add each person with their own name, their own 10-digit mobile number and a password. They sign in at the same page with their own number, and the shop knows which of them is standing at the counter.

  • Every bill records who made it. The name shows in the bill list and again in the khata ledger.
  • Switch a login off, reset its password, or remove it. Removing signs that person out immediately.
  • Only the owner can manage logins. A staff login asking to do it is refused by the server, not just hidden on screen.

What comes out of the shop on paper, and what your accountant gets at the end of the month.

Prints on the roll you already own80mm thermal, or an A5 sheet. The batch and expiry print in small type under each medicine, and a footer line of your own prints at the bottom of every bill. Bill numbers run in your own series — your prefix and a 6-digit counter, like CP-000214.
The day’s money, in five figuresTotal sales with the number of bills, then Cash, UPI, Card and Credit separately. That is the drawer count and the UPI check in one row. Clyno records how you were paid; it does not collect the money.
Cancel a bill and the stock goes backExactly where it came from, batch by batch. The cancelled bill stays in the list marked CANCELLED and drops out of the day’s totals, so the accounts still add up. Any old bill can be printed again.
A CSV your accountant can openOn regular GST: Bill No, Date, Taxable Value, GST Rate, CGST, SGST and Total — one row per tax rate per bill. It opens in Excel. It is a file for your accountant, not a filing to the GST portal.

Which one prints is decided by the GST you are registered for. You choose once in Settings. Indian retail prices already include GST, so on a tax invoice the tax is worked backwards out of the MRP instead of being added on top.

A few more: the search starts looking after 2 letters and shows up to 12 medicines. The low-stock line starts at 10 units per medicine and you can change it. A doctor can send up to 40 medicines in one prescription and check up to 30 names at a time. A doctor’s invite link is good for 30 days. A signup code is 6 digits and lasts 5 minutes.

Getting started

Three steps, and you are billing

You do not have to move your old data first, and you do not have to finish your stock before you start.

  1. Make the shop’s accountShop name, your name, your mobile number, a password, and which GST you are registered for. The mobile number is confirmed with a 6-digit code. Email, address and GSTIN can wait.
  2. Put your stock inPhotograph the purchase bills you already have lying there. Check the lines it read, untick anything wrong, and tap. You can also type items in by hand.
  3. Start billingBill from the first day. Connect your doctors whenever you feel like it — nothing on this screen waits for them.

Using some other software right now? Start billing on day one anyway. If a medicine is not in your stock yet, the bill still goes through. The count is corrected later. A counter should never stop because the shelf and the computer disagree.

Clyno is also the software some doctors use in their clinic. Connect with a doctor you already work with and three things change at your counter.

You do not need a single doctor for this to be useful. The billing, the stock, the khata and the reports all work on their own. The doctor link is something you switch on later, with the doctors you choose.

  • A doctor you have not connected with is refused outright — there is nothing to see.
  • Your shop’s login is a different kind of login from the doctor app, and cannot open clinic data at all.
