How Much Does Clinic Management Software Cost in India?

Most clinic software in India is sold as a monthly fee per clinic. Here is what a small clinic pays, and the costs that a quote often leaves out.


Most clinic management software in India is priced as a monthly fee for the whole clinic, not as a one-time purchase. What a small clinic pays depends on how much of the clinic day the software actually runs, and on which pricing model the company uses.

The figure on a quote is only part of the story. This guide explains how clinic software is priced in India, what Clyno itself charges, and the costs that a quote often leaves out.

What you are really paying for

A monthly software fee is not just the app on your screen. It also pays for running it, keeping it working, and keeping it safe. A fair monthly price should include:

  • The EMR itself. EMR means electronic medical record. It is your clinic's digital record of each patient, with their history, past visits and prescriptions.
  • Appointments and the token queue.
  • Prescriptions that print cleanly and reach the patient, and follow-up reminders that go out on their own.
  • Updates, so the software improves without you paying again.
  • Backups, security, and support when something goes wrong.

Basic patient safety should never be a paid extra. If drug-clash checks or allergy warnings sit in a higher tier, treat that as a warning about the company.

The three ways clinic software is priced

Almost every quote you receive in India will be one of three shapes.

  1. 1Per clinic, per month. One flat fee covers the clinic. This is the easiest to budget and the most common for small practices.
  2. 2Per doctor or per user, per month. The fee multiplies as you add people. Ask exactly who counts as a user. A receptionist login or a visiting doctor can change the total a great deal.
  3. 3A one-time licence with a yearly maintenance charge. This is the older style, where the software sits on a computer inside your clinic. The licence is only part of the cost. You also pay for the machine, the backups, and someone to come and fix it.

Some companies add usage-based charges on top. WhatsApp or SMS message credits are the usual ones. Ask for the all-in monthly figure, not the headline.

Clinic management software price in India: what a small clinic pays

The honest answer is that it depends on how much work the software takes off you. A digital prescription pad costs less than a full platform that runs registration, the queue, the records, the prescriptions and the follow-ups. Hospital systems that add wards, pharmacy stock and insurance claims cost more again, and a two-room clinic rarely needs any of it. We will not print other companies' prices here, because they change often and we would only be guessing. Compare the quotes you receive on the same basis instead:

  • The monthly cost for your real number of doctors and staff, not the starting price.
  • What is included at that price, and what is a paid add-on.
  • The cost of the first year including setup, and the cost of the second year.
  • Monthly billing, or a full year paid up front.

Free software and what it really costs

Free clinic software exists. Before you build your clinic on it, check five things.

  • The limit. Free plans usually cap patients, visits, doctors or storage. Find the cap before you reach it.
  • Support. Free rarely comes with someone who answers the phone when the queue is stuck and the waiting room is full.
  • Export. If you cannot download your patients and visits as a normal file, the software is not free. It is holding your records.
  • Longevity. Free products get discontinued. Ask how the company earns its money.
  • Your own time. Software your staff quietly abandon is the most expensive kind. You pay for it again in paper.

A free tool is reasonable for a doctor starting out. It is a poor home for ten years of patient history.

Costs that are easy to miss

Ask about each of these in writing, before you sign anything.

  • GST on top of the listed price.
  • Setup, training and data-migration charges. Bringing in your old patients is often quoted separately.
  • Extra logins. A receptionist, a second doctor or a second branch can each carry a fee.
  • Message credits for WhatsApp and SMS reminders.
  • A year paid in advance, with no refund if the software does not suit you.
  • Hardware. A printer, a spare phone or tablet for patient check-in, a screen for the waiting room, and reliable internet.
  • Charges for reports, for analytics, or for exporting your own data.

How to judge if the price is worth it

Use your own numbers for this. You already know your consultation fee and your patient count, so the sums are quick.

  • Divide the monthly fee by your consultation fee. That tells you how many extra visits a month the software has to earn. Compare that against a normal week in your clinic.
  • Count minutes, not features. Minutes saved on each patient add up across a full OPD list. Those minutes go to patients, or they go home with you.
  • Count the losses you avoid. One drug clash caught. One file not lost. One empty slot filled because the reminder went out on time.
  • Judge on work removed, not on modules listed. Software that only stores records has to be cheap. Software that writes the note and the prescription with you is worth more, because it gives time back every day. That is the difference an EMR that fills itself in makes.

The last step before you pay
